Private Function Guidelines   

We are delighted that you are considering The University Club for your private function. The Club offers the finest in food and beverage with superb service and ambiance. Our professional staff will be happy to assist you in planning breakfasts, luncheons, dinners, weddings, birthdays, cocktail receptions, or meetings. 

Sponsorship
A member must sponsor all special events held at The University Club. If you do not have a member sponsor we are happy to help find one for your event.   If there is any damage to Club property, the host assumes liability for all charges. In keeping with the private nature of the Club, cellular phone usage on the property is prohibited and all guests must observe the dress code.

Advertising of Events
Events at The University Club must be “by invitation only.”  Public advertising of events held at The University Club is not permitted.

Food & Beverage
Club policy does not allow any food or beverages to be brought onto or removed from the property with the exception of wedding cakes. 

Menu Selection
The menus provided are designed to demonstrate the variety of food and wines available at The University Club.  However, we are happy to customize a menu to specifically meet your individual needs. Groups of 13 and more are required to set a menu, groups of 12 or less may order off the daily menus. The event host for a group with multiple entrée options is required to provide a place card for each guest indicating what they have pre-selected as their entrée. The event host is responsible for any additional costs as the result of additional meals due to the absence of entrée indicating place cards.  

Guarantee Policy
A confirmed attendance must be specified 2 business days prior for events less than 25 people, 3 days prior for events 25-50 people, or 4 business days prior for events over 50 people.  Final charges will be based upon this guarantee unless the actual attendance is greater.  Our kitchen will prepare 5% above the guarantee.  If your actual attendance is more than 5% over the original guarantee, an additional fee will apply (20% of entrée price per each person over 5% increase).

Tax and Service Charge
Our Sales Tax is 8.0% the Service Charge is 22% on food and beverage.

Billing
All charges will be billed to the member’s account, unless otherwise specified. Special billing can be set up prior to the event with member and non-member sponsored events. All payments must be made by check.  The Club reserves the right to change prices due to market fluctuations and will notify the event host as soon as possible.  The Club will directly bill private event charges to a third party if requested.   

Dress Code
Business-casual attire is required at all times.  Wearing denim and cell phone usage are both prohibited at The Club.  The event’s host is responsible for communicating the dress code to all attendees.  

Event Planning
Contact Jeanine Eckert, The Director of Events, to book the date and room for your event.  Jeanine will continue to be your contact for all aspects of your function, including planning menus, set-up, specialty linens and timing to complement any event.  In the event that the above policies are not followed, The University Club reserves the right to terminate the agreement of an upcoming function.

A 22% service fee and 8% tax apply to all food and beverage prices. Prices are effective as of 4/15/2013 and may be subject to future change.
